Position 1: Driver

Objective of the role

The ASPIRE project is a 5-year project funded with support from Global Affairs Canada and focused on improving the sexual rights and reproductive health of adolescent girls and boys in Sokoto State.

The purpose of this role is to provide transportation services to Plan personnel in a safe, courteous and timely manner on the Aspire project and as assigned.

Role dimensions

Communicates within Plan International Nigeria. The incumbent will contribute to the operational aspects of the office and programs, interfacing with operational and program team members.

Responsibilities

Duties and Responsibilities:

Vehicle maintenance and management

  • Cleans the vehicle and performs routine checks to ensure it has the correct work tools on a daily basis.
  • Refuel the vehicle using an approved fuel voucher and record it in time on the vehicle logbook.
  • Park the vehicle safely in the designated location at the end of each working day no later than 6:00 p.m.
  • Ensure that travel outside office hours is formally approved in advance by the administrative department.
  • Ensure that the vehicle movement logbook is completed in a timely and regular manner.
  • Immediately report any accidents or problems involving Plan International vehicles to the Administrative Agent.
  • Compliance with the provisions of Plan International Nigeria Motor Vehicle and Travel Policy.

Transport of personnel and equipment

  • Transports personnel and designated persons to all areas in accordance with instructions and with approved vehicle request forms.
  • Transports goods to required points as directed from time to time.
  • Make sure vehicles have the necessary equipment, such as umbrellas, first aid kit, map, fire extinguishers, etc.
  • Ensure that all plan assets are not left unattended in the vehicle when parked.
  • Accurately file vehicle logs and submit to Administrative Officer.
  • Prepares monthly vehicle maintenance reports for assigned vehicles.

Other services:

  • Distribute and deliver all documents between Plan and other service providers.
  • Assist in sourcing quotes for the purchase of goods and materials for program delivery in accordance with company procedures to ensure value for money
  • Dispatch of goods and materials to various project offices to facilitate program delivery without any reports of lost or destroyed items
  • Comply with Plan’s child protection policy at all times to protect and protect the child at all times without any reports or incidents of child abuse.
  • Perform any other duties that may be assigned from time to time to support the achievement of organizational goals.

Technical expertise, skills and knowledge

Qualifications and experience

  • Good communication, interpersonal and computer skills
  • Class B driver’s license.
  • Advanced or Ordinary Level Certificate
  • A minimum of 3 years of experience in the maintenance and operation of vehicles.
  • Experience working in an NGO organization will be an added advantage
  • Any relevant certification in driving/office services will be an added advantage.

Knowledge:

  • Demonstrate in-depth knowledge of the road network of Bauchi and other North Central and Western states.
  • Confirmed and demonstrated successful experience in a similar role
  • Good knowledge of grammar, composition, spelling and punctuation.
  • Excellent interpersonal relationship with internal and external customers
  • Proficiency with computers and computer programs, including Word, Excel and Adobe Acrobat.
  • Ability to speak good English and any other language is an added advantage.

Position 2: Grants Officer – ASPIRE

The objective of the role

The purpose of this role is to support the country’s grant coordination processes and management.

Role dimensions

Maintain organization-wide adherence to meet internal and external grant management quality standards, donor guidelines, and related compliance and management processes.

Responsibilities

Grant administration and management

  • Support the Country Business Development Unit on resource mobilization activities in Plan Nigeria Country Office.
  • Support the Grants Manager in coordinating and monitoring the implementation of donor-funded projects and programs
  • Manage donor grant transactions effectively and efficiently and ensure quality reporting
  • Support for the establishment of a grant tracking mechanism to effectively track grant activities, determine progress
  • Support the proposal development process by working with program staff, writing budget narratives, editing proposals, and ensuring that proper proposal and grant management procedures are followed.
  • Ensure that donor reports are submitted in a timely manner; that the reports are consistent and accurate (quarterly, interim or final reports).
  • Ensure that grants are implemented in accordance with Plan International guidelines and relevant donor regulations.

Grant Management Information

  • SAP administration, including regular grant updates through daily review and monitoring of the SAP dashboard.
  • Ensure timely setup of all grants in the SAP system and corresponding changes made.
  • Maintain and update grant files for assigned portfolio (electronic and hard copy files)
  • Document and share key compliance issues with Plan International staff and partners setting the stage for compliance management.
  • Draft the financing approval document and ensure that all financing agreement document (FAD) files are updated regularly. This will include hard copies and electronic copies.
  • Participate in the onboarding process of new partners, from solicitation, pre-award assessment, award and close.

Management reports

  • Support the Grants Manager in generating the revenue report.
  • Provide support to program and finance teams on reporting compliance.
  • Provide strategic reports on grant status for management decision making.
  • Support monthly country office pipeline reports.

Budget monitoring activities

  • Coordinate BVA meetings and document action points.
  • Participate in the preparation of the annual budget in the field.
  • Support budget owners in costing and proposal budget review.
  • Support CSOs in budget preparation and modifications.

Compliance and auditing

  • Participate in regular audit of PIN procedures, practices and documents to identify possible areas of improvement
  • Create and manage effective action plans in response to audit requests and compliance violations.
  • Assess PIN transactions to determine risk of non-compliance.
  • Ensure all employees, partners and vendors are aware of the latest donor regulations and processes.

Management of sub-recipients and partnerships

  • Participate in the due diligence exercise during the selection of partners
  • Ensure grantees comply with NIP and donor funding requirements and provide required information on donor regulations.
  • Manage the compliant closure of NIP grants.
  •  coordination of timely payment against approved milestones; work closely with partners to complete delayed or incomplete milestones.

Technical expertise, skills and knowledge

Essential

  • A degree in Development Studies, Business Studies or Social Sciences (Masters or equivalent in International Affairs, Development or related subject will be an added advantage).
  • At least four years of work experience in project and/or grant management and proposal/business development/design.
  • Experience in developing and interpreting donor budgets.
  • Knowledge of development issues, trends, challenges and opportunities and implications for the community.
  • Proven ability to develop and write grant proposals and concepts and experience in winning proposals.
  • Proven ability to work collaboratively in a multidisciplinary team environment.
  • Good communicator with strong organizational, time management and analytical skills.
  • Excellent interpersonal, cultural and diplomatic skills.
  • Strong writing and editing skills with strong attention to detail.
  • Ability to juggle competing priorities, meet demanding deadlines and work under pressure in volatile security environments.
